FINANCIAL
AND ADMINISTRATIVE MANAGEMENT
•
Maintain a Checking account in the name of the Association.
• Maintain a Savings account, to hold reserved
funds, in the name of the Association.
• Invest surplus funds, as directed by the Board
of Directors, within other financial areas, i.e. CD’s,
money market accounts.
• Complete monthly bank reconciliation for all
financial accounts.
• Maintain Financial Statements, prepared on a
monthly basis; Provide audit trails for ease in review
of all financials.
• Maintain Accounts Payable: Pay all approved
bills on a timely basis.
RPM
• Maintain Accounts Receivable: Association Fee
processing, delinquency reports, delinquency notice
letters. Collection of delinquent Association Fees and
late fees if needed. Filing of liens as directed by
the Board of Directors.
• Monthly collection of the Association fees,
either by check or through an “ACH” system,
which electronically transfers co-owners association
fees directly into the Association’s account at
the beginning of the month.
• Review insurance policies for adequacy and compliance
with the Association By-Laws.
• Aid in the preparation of meeting notices and
the agenda for Board of Director’s meetings and
the co-owners annual meetings.
• Aid in the formulation of customized communication
i.e. newsletters, community website. This will help
facilitate communication regarding Board actions, policies,
and miscellaneous services.
• Enforce condominium by-laws, rules and regulations
as established and directed by the Board.
• Mediate condominium co-owner complaints.
PROPERTY
MANAGEMENT
•
Direct the daily operation of the community.
• Routinely inspect common area elements. Insure
proper physical condition of buildings, lawns, roads
and driveways.

Obtain competitive service bids. Manage these contracted
services. Manage other services such as painting, ground
care, trash removal, window washing if applicable and
all other physical maintenance of the common elements
consistent with the guidelines set forth by the Board
of Directors. Constantly evaluate all services to assure
quality of work performed. Evaluate all utilities to
insure proper usage/consumption. Be meticulous in obtaining
the best possible pricing on all services.
• Establish preventative maintenance programs
best suited for your community.
• Record keeping that helps determine the correct
scheduling of maintenance activities. |
